Guiding Principles

This document contains a top-level overview of what conventions can expect while working with us.

Inform, Inspire, Entertain

Every event that we provide will do at least one of the following: INFORM attendees, INSPIRE attendees, or ENTERTAIN attendees.

Inform

Panels and events that provide education, context, and a chance to discuss what attendees learn during the event.

Inspire

These events allow attendees to critically think about their individual opinion on fandom-related topics and share them with others in a constructive manner.

While every event we offer should be entertaining, providing amusement to attendees is the primary focus of some of our event lineup.

Make Running Events Easier

With over 15 years of convention staffing experience, we are committed to providing convention programming staff with a worry-free, seamless experience while dealing with us.

Communication and Transparency

Convention staff shouldn’t have to deal with surprises from their presenters and panelists. We strive to give as much information about our events as possible so con staff can pick the events that best fit their needs. We offer multiple ways of staying in contact, and reply to inquiries within three business days. As your convention draws near, we will remain committed to maintaining the flow of communication with you in the most timely manner possible.

Flexibility

Changes to the convention event schedule happen well before, just before, and even during the convention. Our goal is to accommodate these changes as much as possible. Event times can be changed, shortened, or extended within reason, so long as the convention communicates these changes with us directly, and as soon as the decision is made to make a change.

Some of our events can be added to the schedule to fill last-minute gaps. Best suited for this purpose are the following:

Professionalism

When we provide events for your convention, we will also be your community advocates. We’re happy to provide advertising through our social media channels and website, and direct general event questions to the appropriate channels.

Any concerns between us and the convention that come up during our time working together are handled privately and with the utmost respect.

Events that offer prizes will have written plans for those prizes before the convention. We do not solicit for prizes in conventions’ dealer rooms or artist alleys. We do welcome and appreciate vendors and artists who wish to partner with us, but these discussions will always take place outside of the convention weekend and off the convention floor.

During the convention, our conduct in and out of event rooms will model your convention’s code of conduct.

With regards to providing small packaged food prizes or moving venue equipment, we will always defer to the convention’s or venue’s (and their union’s) rules.

Accommodating Infinite Diversity in Infinite Combinations

It’s a principle that started on the original Star Trek TV series, and is one of our core guiding principles. We will always provide services, select participants, award prizes, and interact with attendees without regard to gender, race, religion, sexual orientation, gender identity, disability, nationality, ethnicity, marital status, age, or any other trait protected by Federal, State, or local law.
During events, we are happy to make adjustments and accommodations to ensure that all who wish to participate are able to. If there are physical barriers to participation, we will work to eliminate them.

Hate of any kind — words or actions that are racist, sexist, ageist, bigoted, homophobic, transphobic, or ableistic is NOT WELCOME in any of our events. Participants who use such language will be disqualified from competition, removed from the event room, and if needed, referred to convention staff for potential code of conduct violations.

Always Improving

Perfection is not possible. Even with the most efficient, well-planned, well-executed production, there are always parts which need improvement. We welcome attendee, convention, and public feedback about our events, panels, and performances, and work to be transparent in looking for ways to improve our services to conventions and their attendees.

Adding Value

In addition to providing top-quality game shows, panels, and events, we are always willing to pitch in in other ways as needed. Upon request and negotiation, some additional services we can provide include:

  • Master of Ceremonies for major events such as Cosplay competition.
  • Moderator for guest of honor Q&A sessions.
  • Providing quick (1-2 minute) roaming games on the convention floor for small prizes.
  • With advance notice, plan and produce a mini-event, such as a modified game show for masquerade halftime or other similar halftime event.
